Favorite Reports

There is a functionality that lets users build Favorite reports that are automatically populated with the most up-to-date information with each login. If you build a report that you would like to see again without having to build the report each time, you can save the report to Favorites.  You can also set the report up to email to yourself and to others.  

Please Note

Only Comparison and Comment reports can be scheduled to be sent by email when saved as favorites.

How to Save Reports as Favorite Reports

Log into the reporting website.

 

Navigate to Report Builder.

Refer to the 'How to Access the Report Builder' section in the Report Builder Overview article for more information on this step.

In Report Builder, build a report.

Refer to the 'Creating Reports' section in the Report Builder Overview article for more information on this step.

Click on Save/Export.

Choose 'Save to Favorites' and click Next. 

Follow the prompts in the 3-step wizard 

A. Review the Report Contents

B. Configure Settings. Specify whether you are creating the report for yourself or for a user group which should then be specified.

C. Name the Report, and hit Save.

Important

If you create reports for other user groups, the report will be saved for EVERYONE

Once the favorite report is saved, you can go to Favorites to see the report by selecting View All as shown:

The newly created Favorite report will be appended at the bottom of the Favorite reports list:

Clicking on the Favorite report should take you into Report Builder with the saved settings.

 

Overwriting Existing Favorite Reports 

Go to Favorites and click Edit 
Click on the report you would like to overwrite
Make the changes you want in Report Builder and click Build Report 
Click Save/Export
It defaults to Save Report to Favorites, click Next

Follow the prompts and click Next until you get to Step 3. Name this Report

A. Check Overwrite a current report.

B. Choose the report you want to Overwrite 

C. Click Save

Setting up Email Schedule for Favorite Reports

This is done from the Manage Favorites screen by following these steps:

Click the Edit button
Alternatively, you can go to Favorites and click Edit.

Click the Email Icon on the report you want to email.

Fill out the form by supplying the following information: 

    1. Email address(s) you want to receive the report
    2. Subject line.
    3. Choose the attachment type.
    4. Choose the frequency you would like the email to be sent.
    5. Choose the day of the week you would like it to send.
      Note: You cannot set a send time.  Due to the number of favorite reports we send to all clients on any given day, we cannot guarantee a set time. 

 

Important

There is a limit of 800 characters that can be included in the email address field for Favorite reports. If all of the email addresses plus the semicolon between them are more than 800 characters, those over 800 will not receive the reports.

You can add a message if you like and click Save It will show you the date it will send out the next email. 

 

Note

We can not restrict certain emails from report subscriptions. If their email is used to log in and is permitted to do so, then they will have access to the reports. The only way around this would be to not use personal email addresses to set up accounts.

 

Deleting Favorite Reports 

If you no longer want the Favorite report, you can click the Delete Icon to remove the report from the list of Favorite reports:

  • Hello, is the excel report not included as an attachment in the email after I set it up in Favorites and set up the email address?
