How To Build Reports In Report Builder

Report Builder allows client users to build custom reports based on their unique business requirements. You can customize the data the way you like. You can choose the type of report, the date range, the units or levels to report on, the data you want to see, and how you would like the data broken out.

This article will walk you through how to access Report Builder, create reports, and filter and break out the reports to drill down further into the data.

How to Access the Report Builder

Support agents can impersonate a client and access a user's reporting platform by following the steps outlined in How to Impersonate a User from Toolbox when Troubleshooting.

Client users with appropriate permissions can build custom reports in the report-builder section of the reporting website by navigating to Reports + Analytics on the blue navigation bar and selecting "Report Builder," as shown here:

Creating Reports

The Report Builder screen is a wizard that makes building a report as easy as 1-2-3, and reports can be saved as a Favorite report. They will be automatically populated with the most up-to-date information with each login.

To build a report, complete the three steps highlighted above as follows:

  1. Report Type & Timeframe
    • Select the report you want from the drop-down (Comparison, Full Scale, Trend, Highest/Lowest, and Crosstab). Types of Reports in Report Builder

    • Choose Date Type (Visit Date or Survey Date)

      • Visit Date = The date the customer visited/purchased the location
      • Survey Date = The date the customer took the survey
      • Generally, we default to survey date unless the client is looking to pull data for a promotion or specific time for an in-location experience
    • Select a Date range. Pre-set dates allow you to pull frequently-used date ranges such as the Current Period and Previous Period. You can choose from Quick Dates or put in your dates. You can choose other dates to compare.
  2. Specify Unit Levels for Report
    • This section is all about the Hierarchy units you want to generate the report for. 
    • "Generate for this level" allows you to build a report for a specific user group (i.e., unit-level, Region, Country, or Brand) – it can only build to the user's highest level of access.
    • "Group by" allows you to view data from a granular level (i.e., unit level) to more broadly.
    • Manually select units or groups, utilize the select all feature, or enter a list of restaurant or group IDs in the search box.
    • Choose what level you would like the report to show
    • You can also create and manage groups for which you would like to build reports. For details, see Report Builder: Creating And Managing Groups  
  3. Choose Data in the Report
    • Select individual measures or use the "select all" link to select all survey measures.
    • Choose the data that you would like to see in the report:

    • If you want to drill down further, you can click Refine Results.

    • There, you can Break Out Data or Filter Data

    • If you choose Break Out Data, you can compare the data to different levels or survey items.

      • For example, if you choose Day of Visit, It will generate this report. 
    • If you choose Filter Data, you can filter the data to show you what you wish to see. Choose what you want and click Done

  4. Click Build Report.

Reports + Analytics Main

  • You can also choose Reports+Analytics Main. From there you can choose the type of report you wish to build or edit any Favorite Reports you have built.

Types of Reports in Report Builder

  • Report Builder gives you the flexibility to build reports so you can easily find data relevant to your goal. SMG has 9 nine types of reports that are in the report builder on the reporting website. All reports can be saved as a favorite report or exported to excel, .csv, or PDF excluding the Period End report which is only generated as a PDF.
